Suggested E-mail/Internet Contact Duties

The Internet contact person plays a key role in ensuring that the Internet is a functioning, useful, and integrated technology. That person must read their e-mail on a frequent basis in order to reply and relay information in a timely manner.

When a change of Internet/e-mail contact is necessary, report the change to the county technology coordinator.

The following list of tasks may help define the role of the Internet contact:

  • Read e-mail frequently to communicate with other Internet contacts, persons at your location, the West Virginia Department of Education, Office of Technology, and West Virginia Network (WVNET).
  • Maintain records of completed Acceptable Use Policy (AUP) training, and forms which may be required by your school, county, or the WVDE Office of Technology.
  • Participate in the k12techs listserv to receive current information and to seek assistance from others.
  • Review applications for access.k12.wv.us e-mail accounts for completeness and accuracy. Retain and file student applications in accordance with procedures at your school or county. Mail applications for school staff and employees to WVDE Office of Technology.
  • Receive newly created e-mail account information and relay to the account user.
  • Maintain a list of access.k12.wv.us e-mail accounts for your location.
  • Request assistance from the county or the WVDE Office of Technology for Internet related training when the need is identified.
  • Maintain a list of IP addresses assigned to routers and individual host computers. A list of IP addresses that are assigned to your location may be requested from your county or from one of the WVDE Office of Technology contacts
  • Report Internet related technical problems to your county initially.  If RESA, or WVDE Office of Technology assistance is required, refer to the Trouble Reporting Contacts.
  • For information on forgotten passwords for access.k12.wv.us e-mail accounts, see Password.
  • Report the accomplishment of Internet related training to the county and the WVDE Office of Technology. Training sessions of 30 minutes or longer on the use of e-mail, web browsers, using the Internet in the classroom, and effectively searching the Internet are examples of training that should be reported. Training reports that include the names, subject, time, date and location of training are valuable information to support continued legislative funding for technology. Training reports should be submitted on the date of the training by using the webpage http:// wvde.state.wv.us/training.
