Department Publications

 

The Department maintains a graphic arts and print shop to ensure high quality publications.  To use these services, appropriate work orders must be approved by the Executive Director, Office of Communications.  Protocol for graphic and printing procedures including checklists and timelines are available in the Office of Communications.

 

All Department publications must be approved in advance by the Executive Director, Office of Communications.  Publications include, but are not limited to, newsletters, reports, manuals, programs, handbooks, brochures, directories and other publications related to the Department's programs, services or operations. 

 

The Office of Communications will approve all publications that are to be posted on the website.  Publications include, but are not limited to, PowerPoint presentations, electronic brochures, electronic newsletters, electronic announcements, electronic press releases, electronic handbooks and electronic directories.

 

All publications/materials that result from the paid work time and/or prescribed duties of staff members will remain the property of the Department and the Department will retain all rights and privileges pertaining to ownership.

 

Procedures have been adopted by the West Virginia Department of Education to ensure that the Department produces quality media projects.  The Communication Team is responsible for ensuring West Virginia Department of Education guidelines are followed regarding the use of existing templates, logos, etc., for Web sites, PowerPoints, webinars, online courses and other multi-media.

 

The production of all West Virginia Department of Education videos, vodcasts, podcasts, multi-media CD-Roms, blogs, wikis, electronic forums shall be reviewed by the Communication Team from inception to completion to ensure that media projects meet industry standard and Department policy.

 

All media software and hardware purchases by individual offices, including but not limited to video production, print publishing, multimedia, screencast, etc., shall be reviewed by the Department’s Technology Team and approved by the Communication Team prior to purchase to ensure consistency with Department guidelines and standards.

 

Media projects that cannot be produced internally shall follow Department policies and purchasing procedures and include a review by the Communication Team to guarantee consistency.  Bids for projects under twenty-five thousand dollars, as well as RFPs and RFQs developed for media projects, shall include input from the Communications Team.  In addition to the standard purchasing requirements, a waiver shall be obtained from the Communications Office for all media projects specifying reasons for external bid.
